BasePrime Scientific Return & Refund Policy

Effective Date: September 7, 2026

BasePrime Scientific supplies laboratory products, reagents, consumables, kits, instrumentation, accessories, and related products primarily for commercial, institutional, clinical, diagnostic, research, and professional laboratory use.

Returns

All sales are final unless BasePrime expressly authorizes a return in writing.

Returns are reviewed on a case-by-case basis and are accepted solely at BasePrime’s discretion. Customer inventory planning, forecasting, usage changes, excess inventory, over-ordering, project cancellation, changes in testing volume, changes in workflow, loss of funding, or products that are simply no longer needed do not constitute grounds for return, refund, exchange, or credit.

No product may be returned without prior written authorization from BasePrime and issuance of a Return Material Authorization (RMA).

Issuance of an RMA does not itself guarantee a refund, replacement, or credit. After reviewing the circumstances and, where applicable, inspecting the product, BasePrime will determine the appropriate resolution, which may include replacement, refund, partial refund, account credit, partial credit, or another commercially reasonable resolution.

Products returned without authorization may be refused or returned to the customer at the customer’s expense.

Nonreturnable Products

The following products are nonreturnable or generally nonreturnable unless BasePrime expressly agrees otherwise in writing:

  • Special-order, custom-manufactured, custom-packaged, private-label, customer-specific, modified, configured, or specially sourced products
  • Products imported, manufactured, packaged, or reserved specifically for a customer
  • Opened, used, partially used, altered, or damaged products
  • Reagents, chemicals, extraction kits, detection kits, biological materials, and temperature-sensitive products
  • Sterile products or products subject to expiration
  • Products requiring refrigerated, frozen, controlled, or monitored storage
  • Discontinued products or products with insufficient remaining shelf life for ordinary resale
  • Instrumentation that has been unpacked, configured, installed, used, operated, validated, or placed into service
  • Products damaged through improper transportation, storage, installation, handling, operation, maintenance, cleaning, or environmental conditions after delivery
  • Products BasePrime reasonably determines cannot be resold as new

Special Orders and Custom Products

Special-order and custom products are final sale, noncancelable, and nonreturnable unless BasePrime expressly agrees otherwise in writing.

Once such an order has been accepted, changes in testing volume, demand, workflow, funding, staffing, customer contracts, methodology, project status, equipment, or inventory requirements do not relieve the customer of responsibility for the order.

Restocking and Return Costs

If BasePrime elects to accept a return that is not the result of BasePrime error or a covered product defect, BasePrime may impose a restocking or handling charge.

Refunds or credits may be reduced to account for freight, inspection, testing, repackaging, handling, depreciation, reduced shelf life, diminished resale value, administrative expenses, supplier charges, and other reasonable costs associated with the return.

Approved credits may be issued as customer account credit rather than a cash refund at BasePrime’s discretion.

Except where BasePrime determines that a product was defective, damaged before risk of loss transferred, or shipped in error, the customer is responsible for return freight, packaging, insurance, handling, and associated costs.

Order Cancellations

Accepted orders may not be canceled without BasePrime’s prior written approval.

Special orders and custom products are noncancelable once accepted unless BasePrime expressly agrees otherwise in writing.

For other accepted orders, BasePrime may condition cancellation upon reimbursement of supplier commitments, raw materials, manufacturing expenses, packaging expenses, administrative costs, freight, import charges, customs charges, restocking expenses, and other costs incurred in reliance upon the order.

Defective, Incorrect, or Damaged Products

Customers should inspect products promptly after delivery. Claims involving incorrect products, visible damage, shortages, incorrect packaging, or other visible nonconformities should be submitted to BasePrime in writing within five (5) business days after delivery.

Warranty claims involving latent defects remain subject to the applicable BasePrime product warranty and Sales Terms and Conditions.
